  • Hit Save Selected — checked items are automatically converted into expense records and the total is deducted from your chosen account.
  • Unchecked items remain on the list for your next shopping trip. Nothing gets lost.
Use the bag system to separate your weekly grocery run from your pharmacy trip. Each bag is saved and reused every week — just update the prices.

  • Navigate to Add Cost Record via the sidebar or bottom navigation.
  • Type into the item search box — existing items appear as autocomplete suggestions. Select one or type a new name to create it on the fly.
  • Enter the price paid for the item.
  • Choose the account (cash in pocket, bank, wallet) the money came from. "In Pocket" is selected by default.
  • The date defaults to today — change it if you're logging a past expense.
  • Hit Save Record. Your live balance, budget remaining, and account totals update instantly on the same page.
The dashboard on this page shows your real-time balance, budget remaining, cash in/out, and account difference — all in one view.
Item Manager
Build your personal expense catalogue with categories
  • Open Item Manager from the sidebar.
  • Click Add Item. Give it a name and assign a category (Food, Transport, Health, Utilities, etc.).
  • Items appear as autocomplete suggestions in Add Cost Record and Shopping List — saving you time every day.
  • Use the search box to quickly find items in a large catalogue. Edit or delete any item at any time.
  • Items with well-defined categories power your Cost Summary charts, giving you meaningful breakdowns instead of a flat list.
Be consistent with category names — use "Food & Groceries" rather than mixing "Food", "Groceries", and "Snacks". Consistent categories make summary charts far more useful.
Manage Costs
Review, edit, filter and bulk-delete expense records
  • Open Manage Costs to see all your current expense records, grouped and sorted by date.
  • Use the date range filter to narrow down records to a specific period.
  • Click the edit pencil icon on any record to correct it — change the item, price, date, or account inline.
  • Tick the checkboxes on multiple records, then use Bulk Delete to remove them all at once.
  • Totals and your balance update live as you delete or edit records — no page reload needed.
Do a quick weekly review of Manage Costs to catch typos, missed entries, or duplicate records before they skew your summary charts.

  • Open Cash Manager. This tracks the actual flow of money — separate from expenses you spend it on.
  • Log Cash In entries: salary, freelance income, ATM withdrawals, gifts received, loan repayments coming back to you.
  • Log Cash Out entries: bank transfers, savings deposits, external payments not logged as expense records.
  • Each entry has a note field for context and can optionally be linked to a specific account.
  • The running balance and stat cards update live. Inline-edit any entry and press Enter to save.
  • Select a Budget from the dropdown to see budget-linked cash balance alongside your entries.
Think of Cash Manager as your personal bank statement. It tracks money itself — Add Cost Record tracks what you spent it on. Both together give you the full picture.
Cash-out entries include overdraft prevention — if you try to withdraw more than your account holds, the transaction is blocked and you'll see a clear error message.

  • Open Budget Manager.
  • Enter Total Money — the full amount available to you this period (salary + other income).
  • Enter Reserved Money — an amount you've mentally set aside and will not spend (emergency fund, upcoming rent, savings target).
  • Enter Budget — your target spending limit for regular day-to-day expenses.
  • RSL calculates: Available Balance = Total − Reserved − Spent and Budget Remaining = Budget − Spent. Both figures appear live on every page.
  • You can save multiple budget snapshots for history. The most recent entry is always the active one.
Update your budget at the start of every month after running the Reset Wizard from Settings. Your budget figures flow into the main dashboard so you always see remaining balance at a glance.
Account Manager
Track live balances across all your bank accounts and wallets
  • Open Account Manager from the Finance section in the sidebar.
  • Click Add Account. Name it (e.g. "In Pocket", "Dutch-Bangla Bank", "bKash Wallet") and enter its current real-world balance.
  • Every time you log an expense or a cash entry linked to an account, the balance adjusts automatically.
  • The Account Difference figure on the dashboard tells you if your tracked balance matches your calculated balance — a non-zero difference means unlogged entries exist.
  • Drag accounts with the ⠿ handle to reorder them. The first account becomes the default for new entries.
  • Edit or delete accounts at any time. Editing only updates the name and current balance — historical entries are always preserved.
Create an account called exactly "In Pocket" — RSL auto-detects this name and pre-selects it as the default account on every new cost record.
Upcoming Costs
Provision for future expenses before they hit
  • Open Upcoming Costs from the Finance section.
  • Click Add and enter the expense name, expected amount, and an optional note. Examples: "Electricity bill — ৳1,500", "Car service — ৳4,000", "Insurance renewal — ৳8,000".
  • The page shows a running total of all upcoming costs so you know exactly how much to set aside.
  • Filter by name or date to find specific items. Edit or delete entries as plans change.
Add your upcoming costs total to your Reserved Money in Budget Manager — that way RSL never lets you accidentally spend money already mentally committed to upcoming bills.

  • Open Loan Manager from the Finance section.
  • For money you lent out, create a loan with direction "Out" — enter the person's name, amount, optional note, and the account it came from. RSL deducts the amount from that account automatically.
  • For money you borrowed, create a loan with direction "In" — the amount is credited to the linked account.
  • As money is returned, click the loan and log a partial or full repayment. The outstanding balance updates instantly and the account is credited.
  • Mark loans as Closed when fully settled. All activity is preserved in a full timeline log for every loan.
  • The overview shows totals: Outstanding loans out, Outstanding loans in, and your net position.
Link every loan to an account — this keeps your account balance accurate and you never have a mystery discrepancy between what RSL says and what your wallet actually holds.

  • Each period shows total in, total out, and net flow for that period.

Like All Time Records, Cash Archive is populated automatically by the Month-End Reset Wizard in Settings — building a permanent record of every financial period.

  • Open Contact & Support from the Account section in the sidebar.
  • New Ticket tab: Enter a subject, set the priority (Low / Normal / High / Urgent), select a category, and describe your issue in detail.

  • When support replies, a red notification badge appears over your profile photo in the sidebar. It shows the count of unread replies.
  • Click any ticket to open the full conversation thread. Reading it clears the badge automatically. You can reply and attach more files from within the thread.
  • Use the FAQ tab inside Contact & Support for instant answers to common questions — no ticket needed.
The notification badge polls for new replies every 60 seconds in the background — you never need to refresh to see when support has responded.

  • Setup & Wizards panel — Month-End Reset: Archive this month's records and cash entries, update your budget and accounts, then configure the new tracking period. Always review the summary in Step 1 before confirming.
  • Tracking Period panel: Set the start date, end date, and label for your current billing month. This period controls filtering across Cash Manager, Cost Summary, Export, and every other page that displays date-ranged data.

Always run the Month-End Reset Wizard from Settings before the new billing period starts — it archives your data, clears the current period, and gives you a clean slate for the new month.
The Month-End Reset archives your active data permanently. Make sure all entries are accurate before running it — always review Step 1 carefully before confirming.

Frequently Asked Questions

Got questions?
We have answers.

Absolutely. RSL Expenses is designed mobile-first — it has swipe-to-open gestures, a fullscreen sidebar, a sticky bottom navigation bar with quick-add buttons, and a web app manifest. Add it to your iOS or Android home screen and it opens full-screen, just like a native app, with no App Store download required.
Yes — completely. Every single database query is scoped to your user_id. Even if two users share the same server, it is architecturally impossible for one to see the other's records, accounts, budgets, or loans. Passwords are hashed with bcrypt at cost 12. Sessions use HTTPOnly, SameSite=Lax cookies. All SQL queries use prepared statements to prevent injection attacks.
Nothing is deleted. The Reset Wizard (found in Settings) archives your current records into All Time Records and your cash entries into Cash Archive. A fresh billing period then begins. Every historical entry is preserved, searchable, and exportable forever. The wizard always asks you to review and confirm before making any changes.
Both have moved to Settings — accessible from the sidebar. The Setup Wizard lets you re-run the initial configuration of your accounts, opening balances, budget, safety stock, and tracking period at any time (your existing data is never deleted during a re-run). The Month-End Reset archives your active records and starts a fresh period.
Yes. RSL Expenses fully supports multiple users. Each person registers their own account and all data is completely isolated — separate budgets, accounts, expense records, shopping lists, and loans. An administrator can create and manage user accounts from the User Manager in the admin section of the sidebar.
Click Forgot Password on the login page and enter your registered email address. A secure, time-limited reset link (expires in 1 hour) is sent to your email. Follow the link to set a new password. Make sure your email address is kept up to date in My Profile.
Total Money is everything available to you this period — salary plus any other income.
Reserved Money is a portion you set aside and will not touch — emergency fund, upcoming rent, savings goal.
Budget is your spending target for regular day-to-day expenses.
RSL calculates: Available Balance = Total − Reserved − Spent and Budget Remaining = Budget − Spent, both visible live on every page.
The Tracking Period is the date range (start date, end date, and label) for your current billing month. It controls filtering in Cash Manager, Cost Summary, Export, and everywhere data is shown by date. Set it in Settings → Tracking Period. During the Month-End Reset Wizard it is also automatically updated to the new period.
Yes. When submitting a new ticket or replying to an existing thread, you can attach images (JPEG, PNG, GIF, WebP), PDF documents, Word files (.doc, .docx), Excel files (.xls, .xlsx), CSV files, and ZIP archives. Maximum 10 MB per file, up to 5 files per message. Images display as inline thumbnails; documents download with one click.
When the support team replies to one of your tickets, a red notification badge appears over your profile photo showing the count of unread staff replies. The badge updates automatically every 60 seconds without any page refresh. It clears as soon as you open and read the relevant ticket thread.
RSL exports as Excel (.xls) and CSV (.csv). Both include columns for Record ID, Item Name, Category, Date, and Price. You can export the current billing period, a custom date range, or your complete all-time history. Files open in Microsoft Excel, Google Sheets, LibreOffice Calc, Numbers, and any other spreadsheet application.
When you create an outgoing loan linked to an account, the loan amount is automatically deducted from that account's balance. When a repayment is received and linked to an account, the account balance is credited accordingly. This keeps your account balances accurate without needing to manually log separate cash entries for loans.
